We’re looking for a confident, professional and organised individual to join our team as an Administrative Assistant.

We’re Pulhams — a long-established, family-focused bus and coach operator based in Bourton-on-the-Water in the heart of the Cotswolds. With a heritage dating back to 1880, we’re proud to be a business that has grown for more than 140 years while still keeping a warm, community-driven feel.
We recently became part of the Oxford Bus Company within the Go-Ahead Group, which is helping us invest in our people, our fleet, and the future of our services. Today, we operate 160 buses and coaches from multiple sites, across a wide variety of work, including local bus routes, home-to-school services, private hire, educational trips, and UK and European tours.

  • Manage external coach parking and vehicle entry/exit processes, maintaining fleet records and vehicle files (including Continental Packs).
  • Oversee insurance and incident administration in liaison with the Incident Manager.
  • Administer shared mailboxes and handle general office enquiries, including school transport and ticketing queries.
  • Support financial processes including Xero monthly reporting, petty cash, driver expenses/floats, fuel card reconciliation, and private hire invoicing.
  • Coordinate ATF (MOT) bookings, payments, invoicing and cancellations.
  • Assist with uniform ordering and stock control.
  • Process DBS applications and Local Authority safeguarding badges.
  • Support school transport timetabling in liaison with Local Authorities.
  • Build strong working relationships across the depot and wider business, supporting managers to meet operational objectives.
  • Promote the company’s professional image and undertake additional duties as required by senior management.
  • Minimum two years’ experience in an administrative role with proven general admin competence.
  • Confident working across multiple teams to deliver organisational objectives.
  • Able to take ownership, work independently, and collaborate effectively with colleagues.
  • Professional, discreet and committed to maintaining confidentiality.
  • Clear and concise communicator, both written and verbal.
  • Highly organised, detail-focused and able to meet deadlines.
  • Flexible, adaptable and calm under pressure, with a practical, solutions-focused approach.
Desirable:
  • Knowledge of GDPR.
  • Experience using Xero or other accounting software.
  • Two free bus travel passes valid across our operators.
